Beewant Documentation

Beewant is an AI assistant specifically designed for enterprises to help users with their day to day tasks. It brings all of an organization's data into a unified space and provides a chat-like interface, enabling users to access and analyze diverse data types including documents, videos, audio, and more through straightforward queries while ensuring security and compliance across various industries such as public administrations, financial services, legal teams, security, marketing, research, and real estate.

Beewant account management

This section will help you set up, customize, and secure your Beewant account, walking you through each area of the Settings menu with visual examples and practical user instructions.

Getting Started

Here is a step-by-step guide to help you create an account on Beewant using either Email verification, Gmail or Microsoft, and how to receive and enter the confirmation code.

Creating an Account with Gmail or Microsoft

  1. Go to the Registration Page — Access the Beewant login screen and select Continue with Google or Microsoft.
  2. Enter Gmail or Microsoft Credentials — Sign in with your Gmail or Microsoft address if not already logged in.
  3. Verify Your Email — After Gmail or Microsoft authentication, it will redirect you to Beewant, and your account will be created automatically.

Creating an Account with an Email

  1. Go to the Registration Page — On the Beewant signup screen, select Email.
  2. Receive Verification Code — Open your email inbox, find the message from Beewant, and copy the verification code.
  3. Enter the Code — Paste or type the code into the registration form to confirm your email.

If you do not receive the code

Check your spam or junk folder. Request a new code (look for "send again" on the registration form). Make sure the email address entered is correct.

Profile & Personal Information

The Profile tab in the sidebar lets you view and manage all your basic details:

  • Edit your name, username, and email address for personalization and convenience.
  • Add a profile photo (PNG or JPEG, under 1MB and 1200×1200px) for a more professional or personal touch.
  • Manage your contact info including phone number and detailed address (country, city, region).

Tip

Keeping your information current helps with notifications, billing, and collaboration.

Security & Passwords

Visit Security & Access to change your password or reset it if you ever forget your login details. For extra safety, this is also where you'll find the Danger Zone, which allows you to permanently delete your account—be sure you want to do this, as it cannot be undone.

Note: Account deletion erases all your data and subscriptions, so only use it if you're certain.

API Access (Pro & Enterprise Only)

The API Access tab is only visible and usable for Pro and Enterprise accounts. Free users will not have access to the platform API.

  • Generate API Tokens: Easily create secure tokens for programmatic access to your Beewant account—ideal for integrating with custom workflows or automation tools.
  • Copy & Renew: API tokens can be copied with a click and refreshed when needed for added security or if your workflow changes.

Treat API tokens like passwords; never share them publicly, and renew if you suspect compromise.

Preferences & Personalization

The Preferences section allows you to set your preferred interface language and adjust basic account behavior, making it easier and more comfortable to use Beewant in your work environment.

Plans, Billing & Subscription Management

In Billing, you can view all available plans—from Starter (Free) to Pro and Enterprise—and see their features side by side. Enterprise plans include advanced features such as SSO (Single Sign-On), letting users access Beewant with unified credentials. You can switch plans, upgrade at any time, and view your payment history and downloadable invoices.

Note: SSO is included for Enterprise customers as part of the advanced features, but you don't need technical details to enjoy its benefits.

Beewant Agents

Beewant Agents are intelligent AI assistants built to handle specific domains and use cases within the Beewant platform. They help users automate repetitive tasks, analyze complex data, and offer tailored recommendations with speed and accuracy. Each agent is designed with a clear focus, such as financial analysis, travel planning, contract review, or learning support, ensuring that users get precise, context-aware assistance. By combining automation with domain expertise.

Overview

The Agents page in Beewant provides a centralized interface for managing and developing custom AI agents tailored to various tasks. At the top, users can quickly search for agents by name and utilize one of four navigation tabs:

  • All: Displays every agent accessible to the user, including personal, shared, and official Beewant agents.
  • My Agents: Lists agents individually created by the user.
  • Shared Agents: Contains agents either shared with others by the user or received from collaborators, supporting team workflows.
  • Agents by Beewant: Features pre-built agents developed and maintained by the Beewant team, such as support assistants, coding mentors, and coaching bots.

Create an agent

  1. Click Create Agent — Click the "Create Agent" button on the Agents page to open the creation form.
  2. Enter Agent Name — In the "Agent name" field, type a unique name for the agent (up to 50 characters).
  3. Add a Description — Fill in the "Description" box with a brief explanation of what your agent does (up to 200 characters).
  4. Write Instructions — Provide detailed instructions or a prompt that describes how your agent should behave. Be as creative or direct as needed, with a large character limit for advanced scenarios (up to 50,000 characters).
  5. Customize the Icon — Select an icon from the icon grid to visually represent your agent. Optionally, choose a color for further customization.
  6. Select Preferred Model — Use the dropdown to pick the AI model the agent will use to process requests.
  7. Create the Agent — Once all required fields are filled, click the "Create" button to finalize and add your new agent.

This process allows for flexible customization, making it easy to build agents to address specific needs within your organization.

Manage your agents

When a user clicks on the three-dot menu for an agent they created, several management options become available:

  • Chat with agent: Begin a conversation directly with the selected agent.
  • Edit agent: Update all agent settings, including its name, description, instructions, icon, and model.
  • Set as default: Mark the agent as a favorite or default for easier access in the workspace.
  • Publish agent: Share the agent with other users of the Platform, making it available to collaborators or the wider Beewant community.
  • Delete agent: Permanently remove the agent from the user's collection.
These full management capabilities are exclusive to agents created by the user. For agents shared by others or official agents provided by Beewant, only limited customization—such as personal adjustments—is permitted. The original creator retains exclusive rights to fully edit, publish, or delete the agent.

Library in Beewant

Collections in Beewant enable users to group multiple indexed media such as documents, audio files, and videos into cohesive sets for seamless interactions. This feature streamlines content management by allowing users to manage, update, and retrieve related media as unified collections. Collections enhance collaborative and structured workflows, letting users leverage grouped content dynamically within chat, search, and agent sessions.

Supported File Types

Collections support various file types including PDF, XLS, PPTX, DOCX, MP4, MP3, TXT, CSV, HTML, YouTube links, CSS, JS, and Python scripts.

Step-by-Step: Managing Indexed Media in Collections

1. Indexing Media

To add new files to your collection, use the "Index media" window.

  • Drag and drop files or click to select one or more files (up to 50 at a time, max 100MB each).
  • Supported types include:
    • Videos: MP4
    • Audios: MP3
    • Documents: PDF, DOCX, DOC, PPTX, XLSX, MD
    • Code/Text: TXT, HTML, CSS, JS, Python, CSV, JSON
    • YouTube URLs for direct video indexing
  • After selecting files or entering a YouTube link, click "Submit" to index the media for use in collections.

2. Viewing and Managing Indexed Media

Indexed documents appear as rows within the collection's interface. Each entry displays:

  • A "Chat" button to interact with or analyze the indexed file
  • Media type - Documents, audio files, videos or presentations.
  • Indexing date
  • Quick actions: Reindex (refresh if indexing fails or if content changes) and Delete (remove file from the collection)

3. Reindexing or Deleting Files

  • Click the "reindex" icon to retry extraction if a file fails to process or if the document is updated.
  • Click the red trash icon to permanently remove the media from the collection.

4. Interacting with Media

Use the "Chat" button next to each entry to engage in AI-powered conversations, combining retrieval and conversational analysis in one interface.

Sharing collections

Collections in Beewant offer flexible sharing options to support both private collaboration and broad accessibility. Users can share collections with specific individuals by generating unique access links—only those with the link can view or interact with the collection. Alternatively, collections can be made public, allowing any Beewant user to discover and access the content without requiring a special link.

1. Collection sharing by inviting members

To send a collection or share it with a member you can click on the Publish member and then you enter the email of the recipient and click on send or you can generate a link and copy it.

The owner of the collection has the authority to remove members from the member list who currently have access.

2. Public collections

Users can turn their collections public for all beewant users. By clicking on Publish, the collections will be shared to all users.

NOTE: Only the collection owner retains the ability to modify or delete the collection, ensuring that sharing does not compromise content control or security. This approach makes it easy to manage workflows across teams or share resources with the wider community.

Beewant chat

Beewant provides an interactive and versatile chat platform enabling seamless engagement with diverse media types. Whether interacting with plain text, analyzing images, exploring indexed documents, or navigating media collections, the chat experience is designed to adapt intelligently to various content formats and user needs. Alongside this, Beewant offers a robust, categorized set of integrated tools that empower users to manage documents and content, conduct comprehensive web research, generate and edit images, manage GitHub repositories, and create professional documents and presentations—all within a unified assistant interface. This cohesive ecosystem ensures users have access to powerful, context-aware capabilities that streamline workflows and enhance productivity in every interaction.

The main chat

The Chat with Text feature in Beewant enables users to engage in dynamic, context-rich conversations using plain text. This functionality supports meaningful discussions that help extract insights, clarify information, and foster effective collaboration through natural language interaction. Additionally, users have the flexibility to choose from a wide range of advanced AI models including GPT-4.1, GPT-5, Claude 4, Llama 3.3, Mistral, R1 Deepseek, Qwen 3, and GLM 4.5, ensuring tailored conversational experiences optimized for various tasks and preferences.

Note: Choose the model that matches your needs.

Chat with Collection

The Chat with Collection feature in Beewant allows users to engage naturally with organized media collections, including documents, audio, and video files. By leveraging indexed content, it supports efficient navigation, in-depth analysis, and meaningful information retrieval from unified media sets—all through a user-friendly chat interface. This feature enables context-aware interactions, promoting deeper comprehension and improved productivity when working with rich, multifaceted multimedia content.

Sources Sources enable users to locate the precise process and origin of the information retrieved.

Indexing YouTube links add more variety and more usability and better handling. Beewant helps with Transcription and diarization with the exact timestamp.

Download & manage: Users can download the transcription, copy and rename speakers for better usability.

Tools

The Chat with Tools feature in Beewant leverages the Model Context Protocol (MCP) system to provide advanced, versatile conversational capabilities within a unified chat interface. MCP enables handling a broad spectrum of prompt types and tasks, offering responses tailored to the nature of the user's query:

  • General Prompts: For standard questions that do not require external data, MCP delivers direct, straightforward answers without referencing outside sources.
  • Web-Connected Answers: When prompts involve complex or up-to-date information (like recent regulatory updates), MCP performs searches on relevant sources and returns synthesized answers accompanied by detailed citations, including URLs, snippet previews, and titles, ensuring transparency and reliability.
  • Image Generation: If the user requests image creation, MCP generates the image and provides a direct link, followed by a detailed description or explanation related to the image.
  • External Tool Integration: MCP supports integration with a wide range of external tools and services, allowing it to perform additional actions or retrieve information beyond its native capabilities.

This flexible response system allows MCP to serve diverse use cases—from straightforward Q&A and in-depth web research to creative tasks like image generation—making it a powerful single endpoint for rich, context-aware interactive experiences.

Chat with the web

The Chat with Web feature in Beewant enriches conversations by integrating real-time web content directly into the chat flow. Users can seamlessly analyze and discuss web pages, extract relevant information, and draw insights from online sources. This capability ensures that your interactions remain up-to-date with the latest information, providing a deeper, more informed chat experience.

Chat with image

The Chat with Image feature in Beewant empowers users to upload, analyze, and interact with images directly within the chat interface. This functionality facilitates rich visual discussions by enabling contextual understanding, detailed feedback, and collaborative exploration of image content. Users can seamlessly integrate images into their conversations, enhancing communication and information exchange by combining visual data with text-based insights.

PC System Requirements

  • Processor (CPU): A mid-range modern processor multi-core processor such as Intel Core i5/i7/i9 or AMD Ryzen 5/7/9.
  • RAM: Minimum 8 GB recommended for smooth multitasking and responsiveness; 16 GB is better for heavier AI workloads.

Internet Connection Requirements

  • Speed: At least 10 Mbps stable broadband connection recommended for seamless interactions and fast loading.
  • Latency: Low latency (under 50 ms) improves real-time responsiveness of chat conversations.
